We are looking to fill the role of Operations and Communications Coordinator with someone who will be excited to be the first point of contact for those interacting with the Center for Alumni & Family Engagement. (CAFE).  

The Operations and Communications Coordinator (Coordinator) will serve as a first-line of support for CAFE for the day-to-day operations and frontline customer service through all forms of communication. Additional responsibilities require a high level of collaboration for supporting program and event managers and CAFE leadership in their engagement activities and events, helping to ensure all interactions provide experiences that exceed expectations. This position requires the highest level of confidentiality and attention to detail, and works closely with UA staff and other campus partners.

You will use your customer service and organizational skills to manage multiple tasks to provide effective and timely support services, and work in an environment where ideas for improvement are welcome and encouraged. 

In this role, you will 

  • Provide support for effective office operations by managing routine office tasks, maintaining documentation, maintaining accuracy of data in the event database and calendars, coordinating internal office events, supervising student worker(s), and more.
  • Handle the process for mass and individual email communications for alumni acknowledgments and other special CAFE messaging.
  • Provide comprehensive support for specific alumni events and activities including developing the registration site, communications, managing guest lists, name tags and supplies. 
  • Serve as a liaison with other UA and Bucknell partners for project components such as graphic design and mass print and mail projects.
  • Use tools such as Cvent, Basecamp, Zoom, Smartsheet, Emma, Blackbaud, Microsoft Office Suite and Google Suite. If you aren’t familiar with these softwares, we ask that you bring a willingness to learn.

Minimum Qualifications:
Must meet one of these three requirements:

  • High School diploma or GED and two years of experience working in an office or customer service setting OR
  • Earned an associate’s or higher degree and one year of experience working in an office or customer service setting OR
  • An equivalent combination of education and related experience

And also meets all of these requirements:

  • Experience that demonstrates the ability to work with and provide customer service to people from diverse backgrounds in a respectful and professional manner.
  • Experience that demonstrates the ability and commitment to learn how to use a variety of computer-based programs and platforms to perform essential job duties such as data entry, word processing, drag-and-drop website design, etc. Specific training is provided.
  • Experience that demonstrates mid-level or higher skills in Google Workspace and/or Microsoft Office.

Other Requirements:

This position (and all positions in our division) requires the occasional evening and weekend work to support university events including Homecoming & Family Weekend, Reunion Weekend, and large Career events. We do ask staff to mark their calendars in advance for these events. Also, UA may occasionally coordinate on-campus or off-campus events/activities outside of standard business hours.

These are preferred, but not required:

  • Three or more years of customer service experience.
  • Experience that demonstrates advanced knowledge and skill with any computer-based programs and platforms related to data entry, word processing and/or drag-and-drop (or other) website design. The specific platforms we currently use include Cvent, Smartsheet, Emma, Basecamp and Blackbaud’s Advancement Module.

Work Type: 
This is a full-time, year round, benefits eligible position.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.

Salary Range:
This is a Staff Non-exempt position with a hiring range of $16 - 19.99 (NE07). The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

The Community

Lewisburg (pop. 5,700) is located in central Pennsylvania and features beautiful Victorian homes, the restored art deco Campus Theatre (owned by the University), a variety of restaurants, shops and boutiques, and the Barnes & Noble at Bucknell University Bookstore. It is the seat of Union County, which has about 44,000 residents.

The city of Williamsport is about a 30-minute drive from campus, and Penn State University’s main campus is about an hour away, as is Harrisburg, Pennsylvania’s state capital. Bucknell is within a three-hour drive of New York City, Philadelphia, Baltimore and Washington, D.C.
