The Financial Services Office Specialist provides essential support and assistance to the Department of Disbursement Services, provides general administrative support to the Finance Office such as processing correspondence and documents, scheduling appointments, and serving as the Finance Office’s voice/email/mail coordinator, and assists other functions within the Finance Office.
This role requires excellent interpersonal skills and tact and the ability to respond quickly and effectively to changing situations, deadlines, and priorities with strict confidentiality. Reporting to the Director of Disbursement Services, the Financial Service Office Specialist will also work closely with the Associate Controller – Financial Services, as well with other Finance Office staff. Duties:• Provide general support for the Department of Disbursement Services, including but not limited to: o Process supplier invoices, check requests, cash advances, and expense reimbursement for payment by established deadlines. Review purchase orders related to payments. Assist in printing and disbursement of accounts payable checks. o Assist in monitoring timely receipt of Procurement credit card verifications and reviewing contents for accuracy and compliance to procurement guidelines. o Assist in monitoring timely receipt of Travel credit card verifications via employee expense reports and reviewing contents for accuracy and compliance with university travel policies. o Assist in creating and maintenance of all Accounts Payable files including the W-9 and W-8 information for vendor type and tax ID; updating vendor profile, contact information and related information in the University’s enterprise system. o Assist in training and use of the university’s ERP system for supplier/supplier invoice requests, credit card transaction verifications.
• Provide general support for the Finance Office, including but not limited to:
o Assist in scanning and filing of all related source materials and documents for various Finance areas, o Assist in maintaining the document retention archives o Assist in distributing annual tax information forms such as W-2s, 1099s and 1098-Ts. o Assist with the processing of outstanding checks. o Maintain Finance Office summer housing records for student workers and fellowship recipients. o Provide other general office support such as, word processing, proofreading, filing, answering the telephone, duplicating, scheduling support, and processing incoming and outgoing mail.
• Serve as the Finance Office voice mail/email account coordinator and office supply inventory coordinator as well assist in maintaining the Finance Office website content and the Finance Office calendar of tasks.
• Provide periodic general support for the Payroll Office, including but not limited to:
o Assist faculty, staff and students in updating their payroll related information and documentation. o Assist Payroll with payroll balancing and related employee communications including basic questions related to taxes and deductions.
• Provide general support to various Finance systems or processes including but not limited to:
o Responsible for day-to-day maintenance of the Bucknell Loan Program including, payroll deduction and ACH payments, performing system updates and processing the monthly reports needed to reconcile the loan fund. o Maintain a thorough understanding of the University’s document imaging software. Assist in training and use of the system by other Finance Office staff.
• Support and contribute to the University's commitment to diversity and inclusion.
• Provide assistance in the other Financial Services areas of the office as needed and performs other duties as required or requested.
Minimum Qualifications: • A minimum of 3 years of accounts payable processing experience • Proficiency with microcomputer software packages, especially: Microsoft Word and Excel • Experience with data entry. Demonstrated ability to handle large volumes of numerical data quickly and accurately • Strong understanding of general accounting office practices and procedures • Demonstrated ability to handle confidential data and work in a team environment • Effective written and oral communication skills • Good organizational skills • Flexibility to work in different areas of the office as needed
Preferred Qualifications: • Associates degree in Accounting, Finance or related field • 3-5 years’ experience working in an office environment • Notary license
