The Program Assistant for Catholic Campus Ministry (CCM) provides support to the daily operation of the CCM office based at the Newman House, Bucknell University’s home for Catholic Life. This position will be responsible for coordinating and implementing the day-to-day operations of the program. The Program Assistant will work under the direction of the Chaplain for the Catholic Community and the Assistant Catholic Minister for the Catholic Community in collaboration with our student-run Catholic Campus Ministry organization (CCM). Catholic Campus Ministry reports to the Office of Religious and Spiritual Life and is a part of the Diversity and Inclusion team within the Division of Student Affairs. This is a full-time ten-month position and includes some weekend and evening work.

Job Duties:
• Manage the day-to-day office operation of Catholic Campus Ministry including:
   -Answer student, parent, alumni and general public phone calls in a professional and timely manner.
   -Respond to inquiries including answering emails and managing walk-in visitors and guests.
   -Operate from a student-centered model that is friendly, welcoming and helpful.
   -Maintain a high level of confidentiality with sensitive information.
• Coordinate and manage logistics for Catholic Campus Ministry general programs and events, including reservations, scheduling, invitations, responses, promotional materials, purchases, shopping, catering, contracts and any required travel.
• Coordinate CCM events for students, alumni and families during special weekends such as Homecoming, Family Weekend and Commencement.
• Coordinate and participate in weekly Thursday night student dinner preparation.
• Produce and update CCM content and communication, including calendars, letters, notices, reports, fliers, mailing lists, etc.
• Maintain and update databases of students, parents, donors and alumni.
• Coordinate maintenance of the Newman House, ensuring the building, kitchen and offices are well stocked and equipped, safe, clean, orderly and properly functioning
• Manage and reconcile CCM’s financial records, budgets and petty cash. Assist in the budgeting process with the Chaplains and Finance Office including the Diocesan Office of Financial Administration expense reports, cash transmittals and invoices.
• Utilize Google calendars and the Events Management System to schedule meetings and appointments, coordinating schedules and event spaces.
• Provide primary support to professional staff for Concur report creation, submission and monitoring.
• Attend meetings including: the Office of Religious and Spiritual Life staff, Newman House staff, CCM Directors, Ministry Team, CCM Advisory Board, Diversity and Inclusion team meetings and the Division of Student Affairs as requested.
• Serve as a liaison between the Diocesan offices, Bucknell University staff and vendors.
• Coordinate volunteer services at Newman House.
• Perform other duties as assigned.

Minimum Qualifications:
• High school diploma or equivalent.
• Two years of administrative/office management experience.
• Proficiency in Microsoft Office and Google drive, with the ability and willingness to learn new programs and technologies.
• Demonstrated ability to take initiative and use good judgment.
• Demonstrated ability to work both independently and as a member of a team.
• Strong written and verbal communication, interpersonal, organizational and time management skills.
• Familiarity, interest, understanding and appreciation of the tenets of the Catholic faith.
• A commitment to diversity and inclusiveness.
• A valid Pennsylvania driver’s license.

Preferred Qualifications:
• Bachelor’s degree.
• Previous work experience in higher education environment.
• Experience in managing budgets and financial records.

Physical Demands:
• Ability to lift up to 10 lbs.
